UIT University Societies: Operational Framework
All societies affiliated with UIT University are committed to advancing the institution’s academic standing and fostering a dynamic co-curricular environment. These student-led organizations play a pivotal role in cultivating personal and professional development opportunities for UIT’s student body. As integral components of the university’s student affairs division, these societies must adhere to the following guidelines to ensure consistency, collaboration, and the highest standards of excellence in their endeavors.

Guidelines for UIT Societies
1. Adherence to Policies
All societies must comply with UIT’s Discipline and Societies policies.
2. Faculty Patron and Executive Committee
Each society will have a single Society Patron who leads the society.
An Executive Committee consisting of four members (President, Vice-President, General Secretary, and Treasurer) will be established. The number of volunteers may vary, but the Executive Committee structure must remain consistent.
3. Exclusive Executive Membership
A student cannot hold an executive position (President, Vice-President, General Secretary, or Treasurer) in more than one society.
4. Mission and Scope
Each society must have a defined mission and scope. All events should align with this mission and scope.
5. Event Notification and Approval
Societies must inform the Student Affairs department at least one week prior to any event. For mega events, notification must be given one month in advance.
The Event Launching Requisition Form (ELFR) must be completed by the society president or Society Patron for event approval. Patron is responsible to submit the ELFR to the Student Affairs Department.
The status of event approval will be communicated after the submission of the ELFR.
6. Event Planning
A tentative event plan for the current session must be submitted to the Head of Student Affairs at the start of each session.
7. Collaboration
Societies are encouraged to collaborate on events to enhance their impact.

9. Media Coverage
All official media coverage will be managed by the UIT Public Relations (PR) Department.
10. Financial Management
Any registration fees collected from students and other resources must be submitted to the finance department.
11. Resource Allocation
In case two or more societies request the same resource at the same time and date, priority will be given to the society that initiated the event first.
12. Alignment with SDG Goals
All events of the society must align with one Sustainable Development Goal (SDG) that is most suitable for the event. The society’s Patron must identify this SDG goal.
13. Post-Event Reporting
A post-event report must be submitted in the standard format, containing all necessary documentation. The society Patron must keep a record of the society’s activities.
14. Annual Hierarchy Update
The society hierarchy must be updated annually, and the list of all members, including the Executive Committee members, must be submitted by the society’s Patron.

16. Minimum Event Requirement
All societies must execute at least one event per semester to be considered active and efficient.
Society Patron:
The Patron must be a member of the full-time or full-time visiting faculty and should not oversee more than one society at a time. The Patron is responsible for the following duties:
Society President
- The President must be a current student of UIT University.
- Assists the Society Patron in planning and executing events.
- Leads and coordinates all student activities within the society.
- Must thoroughly understand and enforce the society’s constitution.
- Compliance with all university policies and ensures society activities align with these policies.
- Mediates conflicts within the society and ensures a harmonious working environment.
Society General Secretary
- The General Secretary must be a current student of UIT University.
- Manages human resources within the society, including recruitment, training, and performance evaluation.
- Correspond with all internal stakeholders, ensuring effective communication and coordination.
- Maintains accurate records on behalf of the Society Patron.
- Arrange regular society meetings, including scheduling, logistics, and agenda preparation.
Society Treasurer
- The Treasurer must be a current student of UIT University.
- Assists the Society Patron in managing the society’s finances and cash flow.
- Deposits all funds into the designated Student Organization/UIT Account and reports the financial status to the Society Patron.
- Maintains an accurate accounting system to record all income and expenses.
- Oversees budget requests and reviews them
